How we handle your information

Last updated 7 October 2026. BackDesk Systems is a business based in Nyeri, Kenya, run by Benard Kimani. This notice covers the information you send us through this website and the Kenya Data Protection Act, 2019.

What we collect

When you use the contact form: your name, business name, phone number, type of business, and, if you choose, your email address and message. We also record the date and the country your request came from. We don't use advertising trackers or sell anyone's data.

Why we use it

Only to reply to your enquiry, arrange a demo and, if you become a client, to provide the service you agreed to. We rely on your consent (the tick box on the form) and, for clients, on our contract with you.

Where it's kept

Form submissions are stored with Cloudflare, which hosts this site, and copied into our own business system so we can follow up. Phone notifications of new enquiries go through a push service. Access is limited to BackDesk.

How long we keep it

Enquiries that don't become clients are deleted within 12 months. Client records are kept for as long as the law requires for business records.

Your rights

You may ask to see the information we hold about you, correct it, or have it deleted, and you may withdraw consent at any time. Just tell us on WhatsApp (+254 727 981 887) or through the contact form and we will act within 14 days. You may also complain to the Office of the Data Protection Commissioner (ODPC).

Client data

Business data we host for clients belongs to the client. We process it only on their instructions, under a written agreement, and give a full export on request.
